User management: inviting colleagues and assigning roles.
Work together in one Airclip Cloud account. You invite colleagues by email and use one of five roles to decide who may see and do what.
An Airclip Cloud account belongs to an organisation, meaning your company. With user management, several people work in it: everyone logs in with their own email address, and their role decides what they may see and do. Projects, credit and the invoice stay shared.
Activating user management
User management is not active from the start; we activate it for your organisation. Send us a short email. Until then you are alone in the account and have all permissions. Once it is active, the Members tab appears in your account.
Inviting colleagues
- Click the person icon in the top right corner and choose Members.
- Click Invite member.
- Enter the email address, choose a Role and click Send invitation.
The invited person receives an email with a link. Through it they set their name and password, accept the terms and conditions and click Create Account. Until then they appear in your list as Invitation pending.
The link is valid for 7 days. If it has expired, simply invite the same address again; the old invitation is replaced. You withdraw a pending invitation with the ×.
An email address always belongs to exactly one organisation. If someone already has their own Airclip Cloud account with their address, it cannot be invited. Use a different address in that case, or write to us.
The five roles
- Org-Admin may do everything, including billing, members and settings such as the company logo in the viewer. Whoever created the organisation is Org-Admin. There can be several.
- Projects-Admin looks after the projects: sees, edits, shares and deletes all projects of the organisation and uploads new ones. Billing and members stay hidden.
- Manager works on their own projects: uploading, editing, sharing. They only see their own projects and those someone has shared with them.
- Finance is meant for accounting: all projects with prices, plus billing, invoices and credit. Uploading or changing anything is not possible.
- Viewer only sees projects that have been explicitly shared with them, and can download their files. Prices stay hidden.

Finance and Viewer open Airclip Viewer 3D in a version without saving: they can measure and look around, but cannot store anything permanently in the model.
Sharing projects with the team
Org-Admin, Projects-Admin and Finance see all projects anyway. For Manager and Viewer you share individual projects:
- Open the project.
- Under Team access, pick the person from Choose member….
- Click Add.
The bin icon next to the name takes the share back. Org-Admin, Projects-Admin and Manager may share. Demo projects cannot be shared.
Changing roles and removing members
Under Members you change a person’s role using the selection field in their row. The new role applies immediately.
The bin icon removes a member. They can no longer log in afterwards, their projects stay in the organisation, and everything shared with them lapses.
You cannot change your own role or remove yourself. Another Org-Admin does that. If you are the only Org-Admin and want to hand over the role, appoint a second one first.
What stays shared
All projects of the organisation go onto one shared monthly invoice, no matter who uploaded them. Credit, vouchers and the volume discount apply to the whole organisation. The discount is therefore based on the combined turnover of all members.
